Information we collect
- Name, email address, telephone number and postcode.
- Service details, garden requirements, preferred timing, budget information and any message you choose to send.
- Optional photographs or files attached to an enquiry.
- Your contact preference and records of consent or requests.
- Technical information such as IP address, browser/device information, security events and server logs.
- Cookie or similar technology information where those tools are enabled.
- Correspondence and records needed to manage an enquiry, quotation or agreed service.
How we receive information
We receive information through website forms, email, telephone, direct contact, cookies or logs, and any third-party service that is confirmed in the final site audit. We do not ask for payment-card details through the website contact form.
Why we use it and our lawful bases
- To reply to enquiries, arrange visits, prepare quotations and plan requested services — steps taken at your request and our legitimate interests.
- To provide and administer an agreed service, communicate with you and keep appropriate business records — performance of a contract and legitimate interests.
- To protect the website, prevent abuse, troubleshoot faults and maintain backups — legitimate interests and, where relevant, legal obligations.
- To send optional marketing only where you have given valid consent. You can withdraw consent at any time.
- To meet legal, accounting or regulatory duties where applicable.
Who may receive information
Information may be processed by the website host, WordPress and form tools, business email, security and backup services, and analytics or anti-spam tools only where they are actually enabled and confirmed in the final audit. We do not sell personal information.
International transfers
If a confirmed supplier processes information outside the UK, BHI Gardening will identify that supplier and record the appropriate UK GDPR safeguard, such as UK adequacy regulations or approved contractual protections, before launch.
How long we keep it
We keep enquiry and service records only for as long as needed to respond, deliver services, resolve disputes, meet legal duties and maintain proportionate business records. On the protected staging site, Forminator currently stores submissions in the WordPress database and the default retention setting is “keep forever”. That default is not approved for production: BHI Gardening must set and document a proportionate retention period and deletion routine before launch.
Security
We use access controls and reasonable technical and organisational measures to protect personal information. No online transmission or storage can be guaranteed completely secure. Please do not send passwords, payment-card details or other highly sensitive information through a general enquiry form.
Your rights
Subject to legal limits, you may ask for access, correction, deletion, restriction, portability or objection, and you may withdraw consent where processing relies on consent. To exercise a right, contact BHI Gardening through the Contact us page. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint.
Cookies and embedded content
Essential cookies may support security, sessions and site operation. Google Site Kit was disabled on the protected staging site after the 4 October 2026 script audit, and no optional Google Analytics or marketing tag was detected after that change. No consent-management platform is currently active on staging. Optional analytics, marketing, maps, embedded media or other third-party technologies must remain disabled until they are documented and, where required, blocked until a valid consent choice is made. We may update this notice when our services, systems or legal obligations change. The date above shows the latest staging revision.

This staging copy is protected from search engines and is not the production privacy notice. Processor names, retention periods, contact details and cookie categories must be rechecked against the live-approved stack before any production deployment.
